1. Who this applies to
CapturePay is a platform used by photography businesses (“businesses,” “you,” if you run one) to manage events and sell prepay photo packages to the teams they shoot for. Families and guardians (“customers”) use a business’s prepay link to place an order. This policy covers both.
2. Information we collect
From a business account: organization name, owner name and email, employee names and emails, and a company contact (name, email, phone) that’s shown to customers on their order.
From a customer placing an order: the athlete/subject’s first and last name, the parent or guardian’s first and last name, phone number, email address, and a shipping address (plus a billing address if different). We collect this because a prepay order needs to be tied to a specific athlete and shipped or delivered to a specific family — not for any purpose beyond fulfilling that order.
3. How we use it
To operate the order itself: showing the business who ordered what, fulfilling and shipping the order, and letting the family reach the business’s listed contact about a refund or any other issue with their order. We don’t use customer information for advertising, and we don’t sell it.
4. Payment information
CapturePay does not collect or store card numbers or other payment credentials — all payment processing runs through Stripe. A customer’s card details go directly to Stripe, never to CapturePay’s own servers. Storefront payments go straight to the business’s own connected Stripe account (CapturePay never holds customer funds); subscription payments for a business’s own plan go to CapturePay. 5. Cookies & local storage
CapturePay uses your browser’s local storage for basic functionality — for example, remembering settings between visits. We don’t currently use tracking cookies or third-party analytics.
6. Children’s information
A parent or guardian may enter their child’s name as the athlete/subject on an order. We don’t knowingly collect information directly from children, and this field is filled in by an adult on the child’s behalf, similar to a team roster or registration form. If you believe a child has submitted information to us directly, contact us using the details below and we’ll remove it.
7. Who we share information with
A customer’s order information is shared with the specific photography business they ordered from — that’s the point of the order. We don’t sell or rent personal information to third parties. We share information with a small number of service providers strictly to operate CapturePay: Stripe (payment processing, described above), our email delivery provider (used only to send account-related emails like verifying a new business account, not for marketing), and our database/hosting providers — or where the law requires it.
8. How long we keep it
We keep account and order information for as long as the account is active, plus whatever additional period is needed for recordkeeping, tax, or dispute purposes. You can ask us to delete information that isn’t needed for those purposes — see the section below.
9. Your rights
You can ask to see, correct, or delete the personal information we hold about you. For a customer, the fastest path is usually the business you ordered from, since they hold the order directly; you can also contact us using the details below.
10. Security
We take reasonable steps to protect the information in our systems, but no method of storage or transmission is completely secure, and we can’t guarantee absolute security.
11. Changes to this policy
We may update this policy as the product changes. Material changes will be reflected here with an updated date once this page is live.
